DOCX vs PDF: which one should you use?

DOCX is the better working format when you still expect to edit the content. PDF is the better sharing format when you want the layout to stay fixed across devices, browsers, and printers.

That difference matters because people usually convert to PDF only after the document is finished. If you send DOCX instead, the file may open differently on another computer, use substitute fonts, or shift spacing when another editor renders it.

A simple rule of thumb:

• Use DOCX while drafting and editing.
• Use PDF when you need stable formatting for sharing or printing.
• Convert from DOCX to PDF right before sending the final version.

If your goal is a clean handoff, PDF is usually the safer choice. If your goal is collaboration and frequent revisions, stay in DOCX until the content is final.
